Driver diary

The Driver diary report lists the details of the driving times of a driver or drivers.

It can be generated in an authorities format, including a special footer that can be filled to be presented/delivered to specialized/specific authorities.

 

Configuration

To generate the report, you must configure the following inputs:

Configuration Description
Period

The period the report will be generated for. Options:

  • This month
  • Last month
  • Last 30 days
  • This week
  • Last week
  • Last 7 days
  • Today (Default)
  • Yesterday
  • Other (Maximum 30 days)
Show information by

Here you must choose the the source of the information. It can be:

  • Drivers
  • Driver statuses

Once you select one source, you must select which components will be used to filter the report. For instance, if I want my report to be generated for some Drivers of my fleet, I first select Drivers and then choose their names in the next selector:

This does not change, however, the output or the grouping of information in the output of the report.

Authorities format This option changes the format of the report (but not the data presented). With this option, the report is generated in a way that you can print it, fill in a couple of mandatory fields, and deliver it to specialized authorities. This is mainly focused on the Bulgarian authorities.

This report includes, for each Driver, a table with information regarding their driving times.  At the header of the report, the Driver's name and the Frotcom account they belong to are displayed.

Driver Diary report shows working days that start on one calendar day and end on another, and shows also all working days occurred on the same calendar day.

The report can be as extensive as the number of drivers that you select in the Configuration of the report.

It contains the following data/columns:

Column Description
Date The date of the shift
Vehicle The license plate of the first vehicle driven by the driver in this day
Daily shift start The time the daily shift started (i.e., the first time the tachograph was changed to driving/working in this day, after 00:00 of the company's local time)
Daily shift end The time the daily shift ended (i.e., the last time the tachograph was changed to rest in this day)
Address (Start - End) The addresses where the shift started and ended, separated by a dash (-)
Working time The sum of all the times the tachograph was set as "Work" during the day
Driving time The sum of all the times the tachograph was set as "Driving" during the day
Resting time The sum of all the times the tachograph was set as either "Rest" or N/A during the day, excluding the daily and weekly rest periods
Daily rest (Start - End) The period (Start and End, separated by a dash) of the last daily rest before this daily shift started, as long as it was not a weekly rest
Weekly rest (Start - End) The period (Start and End, separated by a dash) of the last weekly rest before this daily shift started, as long as it was not a daily rest

 

If you select the option Authorities format in the Configuration of the report, the formatting of the report slightly changes to separate each driver per page (i.e. one header, body and footer for each driver, per page). It also included a footer per driver, with some information to be manually filled when this report is printed:

You can now export the Driver Diary authorities format to Excel.
