Management > Fleet

After entering the costs, you can get some interesting indicators and totals about the fleet's costs and consumption.

To go to the Fleet management panel, go to the Management module and select the Fleet folder:

On the upper part of the panel, you can select the basic list you wish to see:

There are 4 basic lists, each one with a specific indicator:

  • Cost per mileage - You will know, for a certain time period, what is the calculated cost per km or mile of each of your vehicles.
  • Consumption per mileage - you will know, for a certain time period, what is the calculated fuel consumption per km (or mpg - miles per gallon) of each of your vehicles.
  • Cost per hour - Specially useful for civil works and construction machinery, this ratio shows you the calculated cost per hour (time measured with ignition ON).
  • Consumption per hour - Especially useful for civil works and construction machinery, this ratio shows you the calculated fuel consumption per hour (time measured with ignition ON).

IMPORTANT: Please remember that the longer time period you select, more cost and fuel data Frotcom will have to calculate ratios such as cost/km. If you use a period too short, chances are that the calculated ratios will not be trustworthy. It is recommended to always calculate these ratios for time periods no shorter than 3 months.

Independently of the view, you will have always on the top of the panel a calendar filter, a vehicle filter and a search box.

You can find the calendar filter by the following icon, located in the upper left part of the screen:

by clicking on it you will be able to define the time period for which you want to see the information. You have the following options:

  1. This year
  2. Last year
  3. Last 365 days
  4. This month
  5. Last month
  6. Last 30 days
  7. This week
  8. Last week
  9. Last 7 days
  10. Today
  11. Yesterday
  12. Other

If you click on Other, the following extended panel is available:

On this panel you will be able to choose the starting day and time, and the ending day and time of the focus period. After you are done, click the Apply button to save your preferences or click the Cancel button if you want to discard your changes and keep the previously applied time filter.

In addition to the time filter, you also have the the vehicle filter, located on the upper part of the panel:

By clicking on it, the next drop down list opens:

This filter allows you to choose for which vehicles you wish to have the results displayed. You select individually the desired vehicles by ticking the selection box next to it. If you wish to select all the available vehicles, simply tick the Select visible box.

If you want to find a particular string (e.g. a license-plate) you can use the search box:

It is a free text box and the displayed results will be filtered by the entries that have the desired string in, at least, one column.

If you have fixed costs which are only entered in Frotcom every year, for instance, remember that the calculated costs or fuel consumption for a period inferior to one year will either not consider that cost (if it is entered outside of the time period) or it will have a big impact (if the annual cost is entered inside the time period of the calculation). In these cases, you can either increase the calculation period for one year, if you already have enough data, or you can distribute the annual cost in 12 monthly costs of 1/12 each. You can do this easily with a recurring cost, for instance. This method will allow you to have calculated ratios closer to reality, without having to wait for a full year of cost data.

To see a cost breakdown of the costs of a vehicle in the period you selected, click on the license plate link under the license plate column of the respective row:

and you will see the following panel:

 

You can now see the cost breakdown of the costs of a vehicle in the period you selected. It also shows you the previous 4 variables (Cost per mileageConsumption per mileageCost per hour and Consumption per hour) - indicated by the red circle.

On the left part of the panel, you have two additional tabs: Fixed costs and Variable costs. The cost break down separates Variable and Fixed costs. 

By selecting the Fixed costs tab, you will have the following board:

This panel shows you for the defined period the total fixed costs, the total fixed costs per km, the total fixed costs per hour and how much do the fixed costs represent in the total costs. Additionally it also shows you (on the details panel) all the detailed fixed costs that summed up are the total fixed costs.

By selecting the Variable costs tab, you will have the following board:

This panel shows you for the defined period the total variable costs, the total variable costs per km, the total variable costs per hour and how much do the variable costs represent in the total costs. Additionally it also shows you (on the details panel) all the detailed fixed costs that summed up are the total fixed costs.
