This is the page where you can see all messages exchanged with drivers and exchanged between drivers. It is also where you can see the incoming forms and the automatic alarms sent to drivers by the Alarms service.
There are two ways to go to the Interact page:
- click on the envelope icon on the Menu bar:
(The number after the envelope shows how many messages are still unprocessed. Check below in this article for information about how to process messages)
- click on the Interact button under the More menu:
The Interact page shows you, by default, the list of the messages received from each driver or sent to each driver, whatever happened last. By default the list is limited to the last 2 days of communications.
A number between parenthesis after the driver's name means that there are more messages behind the one displayed:
Once you click on one of the conversations, the right panel will show you the latest interactions:
This is the Conversation mode. You can also opt to see only messages sent, only messages received, or messages exchanged between drivers (messages between drivers are an optional service).
You can apply some filters to narrow down your selection of messages. Clicking on the Show advanced filter button will open all the filters:
Filter | Description |
Text | You can use the text box search to filter any text within the messages. |
Calendar | This filter allows you to select the displayed conversations according to its recency. By default, the last 2 days are shown. |
Group by |
Here you can choose to group the messages by:
|
Show/Hide Advanced filters |
Shows or hides the Advanced filters. |
Conversation type |
You can also opt to see only messages sent, only messages received, or messages exchanged between drivers (messages between drivers are an optional service). By default, all the conversations are displayed. |
Vehicle/Driver | This filter allows you to select the displayed conversations in which a particular vehicle and/or driver take part. You can select among all the available Vehicles and/or Drivers of your account. If all the Vehicles and all the Drivers are selected, Unfiltered will be displayed on the filter button. By default, all Drivers and all Vehicles are selected. |
Received/Sent status | This filter allows you to select if you want to see displayed only the unprocessed conversations or both processed and unprocessed ones. You can select among three available options: All statuses, Unprocessed and Processed. By default, All statuses is selected. |
Messages/Forms |
This filter allows you to select if you want to see displayed only messages, only forms or both of them. You can select among three available options: Messages and Forms, Messages only and Forms only. |
Processing messages
You can mark incoming messages as processed. That means that you - or another user in your company - have read them and they are no longer requiring your attention.
Conversations in which the last received message or form is still unprocessed have their text in blue. Additionally, near the envelope you will see the number of unprocessed messages:
The text becomes black when the last received message or form is processed:
To mark a single message as processed, simply click the "Mark as processed" link in the message field. The message will now show as processed.
The message status will become Processed and its color will go from blue to black. The background will go from light blue to gray. If you have set the filter to see Only unprocessed messages, it will be removed from your view.
To set the status of a message back to Unprocessed, click the small menu on the right of the message and select "Mark as unprocessed".
You can also process multiple messages. For instance, if you want to process all the messages of a single conversation, click the small menu on the right of the conversation and select "Process these messages".
If you want to process all the past messages, for all conversations/vehicles/drivers, click the sandwich menu button and choose the "Process all messages" option. If you want to process all the messages selected by your filters, but not the other messages, choose "Process messages listed below".
Important note: Messages that are older than seven days will be automatically marked as processed.
Replying to driver messages
To reply to a message, use the bottom of the right panel. Enter the message and attach a position, if you want to. If the driver has more than one associated communication channel (e.g. SMS messages and Workforce Management terminal), you must specify which channel you want to reply to.
The default channel is the WFM/NAV device (SMS in case the driver is not using any communication device). This channel will be saved as user preference, so the next time you send a new message on this communication the channel will be the same as the previous message.
This small menu also provides the Export option, in case you want to export the entire conversation to an excel file.
Composing and sending new messages
If you want to create a message without it being a reply to an incoming message, you can click the Compose button.
The Interact panel refreshes automatically. Every time a new message or form arrives, the counter of new messages will increase and the corresponding conversations will be put on top of the list. The text of those conversations, on the list to the left, will be shown in bold.
Frotcom has also available persisting conditions for the Interact filtering options. This means that after you modify the default preferences for the filters, they will remain unchanged throughout the duration of your session or until you click on the Interact icon or More > Interact. For these situations, the filters will be set to their default configuration.
Messages and forms
Interact allows you to see simultaneously messages and forms received from the drivers, or only the forms. To see only the forms and their details, check this article.
Messages to Departments, Segments, and Frotcom users
Drivers with the latest version of the Workforce Management app can address messages to a specific Department, Segment, or Frotcom user.
In the Interact interface, you will be able to see which messages were addressed to you or to your Department/Segment with icons next to the messages:
To use this feature, you must give permission for the drivers to send messages to each Department, Segment, or Frotcom user.
For Department/Segments, you must select them in Administration > Organization and activate the following option:
For Frotcom users, select them in Administration > Users > Interact and activate the following option:
